Open Postion: Progam Assistant

Full Time On-Site $19-$20/hr Organization Overview IDignity’s mission is to help restore dignity and hope for our clients through helping them obtain their identification documents. State IDs, Birth Certificates, and Social Security cards are essential for obtaining housing, employment, proper healthcare, and various other necessities of life. We are a nonprofit organization.   IDignity provides an environment that encourages entrepreneurship and creativity as we seek to continuously improve our services to our community.  Position Overview We are looking for an individual to join our program team. This individual will be an integral part of managing client cases and equipping our volunteers to serve our clients. This person will work with the Program Manager to serve clients, manage client case data, and provide guidance and direction to our volunteers who are working with clients, both in person and virtually.  This position will be a combination of working in person with staff, volunteers and clients, as well as working behind the scenes managing data and documents. In-person services are a high-paced environment requiring quick decision-making and problem solving skills. While working with client cases, this individual needs to be detail-oriented and self-directed.  Responsibilities Direct Client Services (Identification Service Days)
  • Prepare clients files for upcoming appointments
  • Serve as Site Coordinator during Identification Service Days
    • Work with clients and volunteers in a fast-paced environment
    • Manage volunteers and answer volunteer questions by making decisions and communicating them clearly and directly
    • Analyze client cases quickly and accurately 
    • Multi-task while reviewing and handling multiple client cases and questions (multiple volunteers may need assistance at the same time)
    • Provide clients with updates on their cases in an efficient and compassionate manner
    • Assist in setting up and tearing down computers, tents, and other various supplies during Identification Service Days
Client Case Oversight
  • Assist with case management under the supervision of Program Manager
  • Manage all outgoing communications with clients, primarily by equipping and overseeing volunteers via various communication methods (phone, text, chat, email)
  • Conduct monthly trainings for new volunteers
  • Assist in maintaining client data in Salesforce
    • Documenting outcomes of cases and document orders
    • Review and recap notes from volunteer’s interactions with clients
    • Maintain data accurately and completely
  • Process incoming and outgoing mail as needed
  • Research and enter client data in Homeless Management Information System
Administrative Duties
  • Assist in the planning and execution of events hosted by IDignity
  • Attend and participate in regular Program Meetings
  • Attend and participate in weekly Staff Meetings
Skills Needed
  • Extremely high attention to detail
  • Ability to work and thrive in a fast paced environment
  • Experience with Salesforce or comparable CRM preferred
  • Excellent computer proficiency and office skills (Google Drive & Microsoft Office)
  • Leadership experience 
  • Excellent oral and written communication skills with the ability to make quick decisions and solve problems
  • Bilingual preferred (Spanish)
  • Ability to be self-directed, as well as to work on a team
  • Experience or willingness to serve with a diverse client base
  • Drive to evaluate and improve current systems and procedures
