Position Overview

We are looking for an individual to join our program team. This individual will be an integral part of managing client cases and providing support to expansion initiatives.

This position will be a combination of working in person with staff, volunteers and clients, as well as working behind the scenes managing data and documents.

Responsibilities

Direct Client Services, Identification Service Day (ISD) Preparation

  • Prepare and review appointment notes in preparation for ISD
  • Pull files & documents and pack files for upcoming appointments
  • Refresh binders monthly ○ Prepare and pack supplies for ISD
  • Assist Program Manager with venue schedule confirmations
  • Assist Program Manager in confirming and assigning ISD volunteers
  • Text clients to remind them of their appointments
  • Assist site coordinator, as needed, during ISD
  • Act as a resource for volunteers and clients during ISD
  • Responsible for setup and breakdown of ISD equipment and supplies

Client Case Oversight

  • Assist with case management under the supervision of Program Manager
  • Manage all outgoing communications with clients, primarily by equipping and overseeing volunteers
  • Assist in maintaining client data in Salesforce
  • Sort and scan in all documents from ISD
  • Enter in vouchers
  • Process Client Release Agreements and Document Sign-Outs
  • Review and upload attendance sheets (add in phone numbers or any relevant info)
  • Research and enter client data in Homeless Management Information System

Administrative Duties

  • Process incoming and outgoing mail as needed for additional locations
  • Process and Prep Social Security applications for SSA delivery
  • Process IDs and Social Security cards as they arrive
  • Mail out documents to clients as needed
  • Assist in the planning and execution of events hosted by IDignity such as Crisis Intervention Training, Homeless Memorial Service, Volunteer Appreciation Week, etc.
  • Attend and participate in regular team Meetings
  • Attend and participate in weekly Staff Meeting

Necessary Skills and Qualifications

  • Bachelor’s Degree in a relevant field or equivalent experience
  • Excellent computer proficiency and office skills (Google Drive & Microsoft Office)
  • Prior CRM experience is preferred (specifically Salesforce)
  • Strong organizational, time management, and communication skills
  • Ability to multitask effectively in a fast-paced environment and pay close attention to details o Analytical abilities, including clear judgment and ability to review and follow up on cases and tasks assigned, etc.
  • Experience or willingness to serve with a diverse client base
  • Bilingual (Spanish/English) preferred
